Member organisation HBAA, Hotel Booking Agents Association, provide much needed clarity on the industry following Fridays announcement...
Meetings at hotels and permitted venues.
Meetings of up to 30 persons can take place NOW. Business Visits and Events Partnership (BVEP) are seeking clarity on whether it can be more than one meeting x 30 in one venue - whether that’s for the same or different clients.
Face masks do not have to be worn in meetings x 30.
What is a ‘permitted venue’?
Any venue which has been allowed to open and operate under the Covid-19 health and safety protocols. Currently conference centres and exhibition venues are not permitted venues, but further discussion is taking place as to why, in particular, conference centres should not be able to host meetings at this time.
Larger meetings, events and exhibitions in England
Other meetings/events/exhibitions can be planned to take place from 1 October, assuming that the indoor pilot case studies are deemed successful/safe.
It is currently anticipated that two pilot events – an exhibition with small adjacent meetings, and a larger meeting/conference - will take place at two London venues in the next three weeks. Information on other pilot events will be advised.
Further information on business events and conferences taking place from 1 October can be found here
Government guidance on health and safety for the sector has been updated here
Source Conference News 17th July 2020.
Today Prime minister Boris Johnson has confirmed that conferences and exhibitions will be permitted in England from 1 October 2020.
Addressing the nation from Downing Street, 17 July, the prime minister said the decision would depend on data and that Local Authorities would have powers to close events if there was a danger to the public. The prime minister noted that there would be pilot events ahead of the reopening.
The Nightingale hospitals, which currently occupy ExCeL London, the NEC, Harrogate Convention Centre and Manchester Central, will remain until the end of March 2021. It is not yet clear how this will impact events at these venues.
“I can confirm that we are providing an additional £3bn of funding to the NHS in England to get ready for winter. Scotland, Wales and Northern Ireland will also receive additional funds. This will allow the NHS to continue to use the extra hospital capacity acquired from the independent sector and also to maintain the Nightingale hospitals until the end of March." the prime minister said.
On the reopening of the business events industry, the prime minister added: "From October, we intend to bring back audiences in stadia and to allow conferences and other business events to recommence – again, these changes must be done in a Covid Secure way, subject to the successful outcome of pilots."
Answering a question from the FT about people returning to work, prime minister Johnson made a telling statement underlining the value of face-to-face interaction. He said: “There’s a balance. We have learnt a lot of lessons during this crisis, about the potential of technology, but I think there are also limits to this technology and is no substitute for face-to-face meetings and interactions.”
The Government released its official guidance for conferences and meetings on 24 June. Read the Meetings Industry Association's full safety criteria here.
Simon Hughes, chair of the Business Visits and Events Partnership expressed his delight. He said: “After several months of lobbying, and providing significant amounts of evidence and research to government, and working closely in partnership with our colleagues at DCMS, we are delighted that today the prime minister has finally announced a Go Date of 1 October for the recommencement of business events and exhibitions, subject to the successful completion of some pilot events."
Hughes added that the industry is still facing challenges. He added: “While this news will come as a great relief to the entire events industry, we are still conscious that the sector will require significant support going forward, as it looks to rebuild and renew, and we will continue to engage with government to look at practical ways to ensure that our world class industry continues to thrive and support the UK’s overall recovery over the years to come.
“We also look forward to working with DCMS to ensure a successful outcome of the pilot scheme, and will provide further updates to the industry as soon as we are able.
“Finally, we would like to thank the entire events industry for their patience, resilience and support that they have demonstrated over what has been an incredibly challenging few months, and we look forward to working together, with one voice, as we look towards the next stage of our recovery.”
Lex Butler, the chair of the Hotel Booking Agents Association (HBAA) was equally delighted to see a restart date, but stressed the importance of reading the small print. She said: “At long last, finally we have a date to work to and the uncertainty is over, after all the hard work in lobbying and making preparations to ensure the safety of delegates and staff.
“It’s great news, but we’re reserving our celebrations until we see the small print.”
Jane Longhurst, chief executive of The Meetings Industry Association also welcomed the prime minister’s announcement that major business meetings and events can restart, ‘subject to pilots’, from 1 October, as part of the latest easing of lockdown restrictions.” She said: “The impact of Covid-19 on the business meetings and events sector has been devastating so we are delighted with today’s announcement that we now have a timeframe to work to and recommence. Its positive proof that the Government has been listening to the sector and understands that we can open safely.
“We are currently awaiting the detail of the pilot events, but we do know they are to offer Public Health England the chance to test the industry’s ability to hold major events with large numbers of people.
“We also understand that the guidance, which we can expect any day, will include the news that Covid-Secure venues can immediately open for events up to 30 people [Conference News is trying to confirm this], which is a fantastic step forward.

The George Hotel in Edinburgh recently underwent a big refurbishment and to celebrate they held a big party which we were luck enough to be invited along to.
In true Scottish style, we were greeted at the entrance by a Piper, although it was raining this provided a true sense of arrival.
After being greeted in the lobby we were directed into a lovely intimate space, The Library, for arrival drinks. A perfect space to mingle and chat away before dinner.
Dinner was served in the impressive Kings Hall with it's stunning flight chandelier centrepiece. I was pleased to see the tables were set around a small dance floor (dancing later confirmed!) with a stage to the front for the entertainment.
Lots of thought had clearly gone in to the evening with tables named after famous books such as Harry Potter and Lord of the Rings. Our table was James & The Giant Peach. Several copies of the story were on the table as little keepsakes.
Once we were all seated and comfortable the evening started. It was the perfect setting to learn all about the refurbishment including the new coffee shop Burr & Co and the new restaurant The Printing Press. We also got to hear about some famous Guests, most recently George Clooney! who was one the first guest to stay in the newly refurbished suite and apparently he loved it. The evening went on with some great pre-dinner entertainment from The Jerseytones, a barber shop style band who got people up dancing even before the food was out.
The food was provided by The Printing Press, and showcased fresh Scottish ingredients which they serve. Salmon Terrine followed by a trio of Beef, which was beautifully cooked, and finally, my favourite, a very tasty fruity Cheesecake. ALL of the food was beautifully cooked and presented - I will definitely be back for seconds!
We also had the opportunity to have a sneaky peek at newly refurbished bedrooms, including the George Suite (named after George Clooney). The rooms are beautiful, with big comfy beds and contemporary décor.
I'm already looking forward to my next visit.

TEAM NAKED x
What do you think of when you are about to start a new job? Excitement? Nervousness? Well I started working at Naked Events this week and I was all of these, although mainly it was excitement. I have been excited about this new job for weeks now, ever since it was offered to me but now it is here and I can hardly contain my excitement!
The first challenge, getting through the Edinburgh festival traffic, which can be a nightmare! I don’t know Leith very well, so had done two test runs to the new office on Giles Street, one in the car, one on the bus and was feeling pretty happy that I knew my way. However, on both journey’s I had done previously there had been no traffic, today on my first day, there was A LOT of it! Just my luck!
Luckily, I made it a little flustered and stressed, but I made it. I was greeted by Nikki at the front door, and taken up to the first floor to our brand new office – LOVELY!
I was shown to my desk, meeting Sylvia the accommodation co-ordinator a lovely Spanish lady who sits opposite me. I was also given a lovely card saying: “Joanne, A very BIG welcome to Naked Events . We are thrilled to have you on board and hope you have an Amazing 1st week!! Anna, Nikki, & Silvia & Pip the Dog.” (pip the office dog!) I thought this was a lovely touch, I had never been so nicely welcomed to a job ever.
The first week has been a whirlwind, but I have been loving every minute of it. Team Naked are great I just really love the whole atmosphere in the office, it is very relaxed but we are all kept VERY busy.
Naked Events have been running for 10 years!! It’s amazing. I can already see what amazing clients the company has and Nikki and Anna have great relationships with them all understanding what the clients want and really dealing with the requests with such passion.
Silvia heads up the accommodation booking side where she manages all our clients hotel requirements – I can see why they think this is a great service – one call or email and your hotel / accommodation request is dealt with, no need to call or search around yourself.
To celebrate our first week in the new office and my first week, Nikki suggested we go for a drink after work on Friday. Nikki also came in with coffee on the Friday morning, which went very well with the Krispy Kreme Doughnuts I had brought with me – I’m already feeling part of the team.
All in all I am loving Naked Events and I can’t wait to get even more involved in the business.
